The event edit dialog allows you to add new or modify existing events. If a user is logged in and has permission to edit events the edit icon () will appear. Only those events for which the user has permission will show the icon. Click this icon to access the event edit dialog.

The subject, date and time fields are required, however, using one of the many customizations you may make any of the fields required, or limit access to certain fields to only certain users (such as admins), or do many other things.

Event Data

The fields in this section embody the general concept of an event; subject, date and time:

Dropdowns

There are eight dropdown fields. The four user defined fields are hidden by default. Dropdown fields present a list of preset values from which your end users may choose. For example, 'High', 'Medium' or 'Low' for priority. End users may add their own values using the 'add value' controls which may be hidden if you wish under page 4 of the customize event database dialog.

Dropdowns are the basis for a lot of important functionality. For example, you may use dropdowns in the scheduler mode to further define what 'conflicting event' means or as the basis for the color by category feature. Further, dropdowns may be used to split the planner view as described in the resource planner help file.

Collaboration Data

Collaboration data embodies fields related to email notifications and access to the given event. For example specifying public vs. private events.

Contact Data / Contact Data 2

Contact data embodies contact information for the event. There are two sets of such data. The first set is shown by default, the second set is hidden by default but may be revealed on page 4 of the customize event database dialog.

In some applications the user that creates the event and the event's contact may be the same person. You may automatically fill populate this information using a 'user data token' as the default value for a field under page 1 of the customize event database dialog.

Repeat Data

Specifying repeat data allows you to indicate that an event repeats on a periodic basis. After creating a repeating event you may specify exceptions to the repeat pattern.

To create a repeating event choose one of either 'repeats every' or 'repeats on' under this section then specify further repeating attributes. There are nearly 200 different combinations of repeating events, so you should be able to find the proper repeat type. You must specify the date on which the repeating pattern ends. By default this value is set to one week, month or year from the current date. See the repeating events and repeating exceptions help files for more information.

Display Data

Display Data embodies the look and feel of the event. You may select the font, size, border, and other display attributes for each event.

Specifying colors and font characteristics for every event may become tedious. You may wish instead to associate event's look and feel with a category, location or status. See the color by category help file for more information. If you enable color by category these fields are hidden in the event editor.

Owner Data

This section appears only if the feature is enabled as described in the event ownership help file. If displayed the dropdown allows the event's editor to re-assign ownership of the event to other users. Note, changing ownership may make an event un-editable by the editing user. For example, if an edit user re-assigns an event to a different edit user he/she would no longer be able to modify that event.
